01The challenge

A store selling Bath & Body Works fragrances, makeup, handbags and wallets, serving customers through Instagram and WhatsApp, needed its own storefront with its full catalog and one system to keep stock, sales, payments and deliveries in one place.

02What we built

What we built

01

A storefront with the store’s own brand

A wine-and-cream homepage with the brands it carries and five categories (fragrances, makeup, handbags, wallets and lingerie), each with its own collection.

“Find what you’re looking for” section with Fragrances, Makeup, Handbags and Wallets

02

A catalog with a cart that orders via WhatsApp

Search by name, brand or type and filters by category and line. The cart adds up the total and, with a first and last name, opens WhatsApp with the order already written. No sign-up, no payment gateway.

Cart with three products, estimated total and an “Order on WhatsApp” button

03

Paola, the store’s assistant

A chat with ready answers about fragrances, makeup, prices, shipping, payments and location, with quick buttons and a direct handoff to WhatsApp.

Paola’s chat with quick buttons: see fragrances, see makeup, how much?, do you ship?

04

The admin system

A dashboard with revenue, net profit, active orders, low-stock products and pending payments by period, sales by category and the day’s BCV and parallel rates. It reads the same database as the store: what’s added here shows up in the catalog.

05

Point of sale for the physical store

One-tap sales priced in dollars and bolívares, discounts, deposits and split payments across methods; if the customer puts an item on hold, the order moves to “To deliver”. Also on the phone.

Point of sale: products priced in USD and Bs and a cart with the total (sample data)

06

Inventory at real cost

Every product with its cost, margin and stock; incoming stock is kept by batch and profit uses each batch’s cost plus tax, shipping and the exchange-rate gap. Supplier orders with their US and Venezuela tracking numbers.

Inventory with cost, margin and units per product

07

Invoices, collections and PDF reports

A PDF invoice per order, tracking of pending, partial and paid orders, a movement log exportable to CSV and sales, inventory and customer reports in PDF.

Invoices with order status, payment status and a PDF button (sample customers)

04Craft details

Technical decisions, in plain words.

  • 01

    Protected photos

Product photos carry the store’s watermark, applied by a script that keeps the originals, and can’t be dragged or saved with a right click.

  • 02

Works even when the connection drops

The system keeps a local copy of products, orders and customers; if the database doesn’t answer, it keeps showing the latest data.

  • 03

    Two rates, no hand math

The BCV and parallel rates are fetched automatically every 30 minutes, and the gap between them goes into the real cost of every sale.
